Koyo / JTEKT Bearing FAQ: part numbers, quantities, quotes and delivery

Straight answers for gearbox engineers, production buyers and repair managers sourcing Koyo and JTEKT bearings from Machinery Company, sorted by purchasing step from part identification to goods receipt.

Most asked

The two questions gearbox buyers ask first

Short answer: you can submit both Koyo and JTEKT references on one line, and every quote can show quantity per unit and total order quantity side by side.

Q · 01

How do I submit an old Koyo mark and the current JTEKT reference?

Put both on the same line of your list: the old Koyo mark exactly as it appears on the bearing or BOM, and the JTEKT reference from your purchasing records.

Machinery Company works with both naming systems, so you never have to translate references yourself before sending a list. Add the gearbox model and shaft position next to each pair so old and current references can be matched line by line.

Q · 02

Can you quote quantity per unit and total order quantity together?

Yes. State the quantity per gearbox or machine for each reference, plus the total quantity you want to order, and both figures are carried through the quote.

One assembly often uses several bearing types, and mixing up “per unit” with “total” is the most common cause of short or excess orders. Keeping both columns on an itemized list lets your engineer check the assembly and your buyer check the order in one document.

  • Per unit× Qty
  • Order totalΣ Qty
The marking on my old bearing is incomplete or hard to read. Can it still be identified?

Yes. Send a clear photo of the marking and note which characters or details still need confirming. Adding the gearbox model, shaft position and drawing number narrows the match, so the exact reference is confirmed before you accept a quote.

Can I send photos instead of a part number?

Yes, photos are welcome on WhatsApp or by email. Photograph the side face with the marking in sharp focus, and include the bearing in its position if it is still installed. State what you already know, such as the gearbox model, so the photo is read in context.

Can I ask for a quote by part number, equipment model or assembly list?

Any of the three works. Send a single part number, a gearbox or machine model, or a full assembly list. Old Koyo marks and JTEKT references can be used on the same list.

What information helps confirm a gearbox bearing fastest?

Gearbox model, Koyo / JTEKT marking, shaft position and drawing number. These four details together leave little room for a wrong match. A wrong substitute can fail in service, so it pays to get the reference right first.

02 · Quantities & lists

Building a complete gearbox bearing list

The clearest list is organized by shaft position, with one line per bearing, its quantity per unit, and separate quantities for trial and series production.

How should I organize the bearing list for a full gearbox overhaul?

List bearings by shaft position. Give each position its own line with the Koyo / JTEKT marking, the drawing number if you have one, and the quantity per unit. Repair managers can then check the quote against the overhaul list one position at a time.

Can I send a whole gearbox or machine as one inquiry?

Yes. Send every bearing for the gearbox or machine as one itemized list. Tapered, cylindrical, needle and ball bearings for the same assembly can go on one request and get quoted line by line, so nothing is missed between separate orders.

How do I separate trial quantities from series production quantities?

State them as two separate quantities on each line. Mark one as trial or prototype and the other as series production, with the required date for each. Production buyers then get a quote that matches both stages of the project.

Why should I give both quantity per unit and total quantity?

It stops you ordering too few or too many. When one assembly uses the same bearing in several positions, a single figure is easy to misread. Two columns make the arithmetic visible to everyone who reviews the order.

03 · Bearing selection

Selecting the right bearing for tight or heavy-duty positions

Bore diameter alone is not enough to select a needle roller bearing. Give the full installation geometry, and make sure any substitute reference is listed separately for your approval.

The needle roller bearing position has very little space. Which dimensions should I provide?

Give the bore, outside diameter and width, not the bore alone. Needle roller bearings are chosen for positions with limited radial space, and several types can share a bore size. Add the drawing number or approved assembly specification so the geometry can be checked against what your design engineer has released.

How are substitute references marked, and who approves them?

Substitutes are listed as separate lines, and you approve them. Tell us at inquiry stage whether you accept alternative references. Any technical change from your specified bearing needs your approval before the order goes ahead.

Which Koyo / JTEKT bearing types are covered for gearboxes and drive shafts?

The full range used in mechanical transmissions, from needle rollers to large roller bearings. Typical positions for each type are shown in the table below. Application-specific bearings can be supplied from a drawing or equipment record.

04 · Quotes & delivery

Written quotes, validity and shipping

Every Machinery Company written quote states the part reference, quantity, price and currency, stock status, estimated lead time, validity period and applicable shipping or tax terms, so you can compare it line by line.

What does a written quote include?

Everything you need to approve a purchase, itemized by line:

  • Part reference and quantity
  • Price and currency
  • Stock status
  • Estimated lead time
  • Quote validity period
  • Shipping or tax terms
How long is a quote valid?

The validity period is printed on each written quote. Check it against your internal approval timeline, and place the order within that period to keep the quoted price and stock position.

What should I confirm before placing the order?

Specifications, quantities, delivery details, payment method and commercial terms. Reviewing these five points against your list before ordering avoids changes after the order is placed.

How is the shipping method agreed?

The shipping method, dispatch schedule and shipping documents are confirmed for each order. Give your destination country, postcode and required date in the inquiry so the delivery plan fits your repair or production schedule from the start.

05 · Documents & receipt

Product documents, customs paperwork and goods receipt

Settle product documents at the quotation stage and shipping documents with the shipping plan. On arrival, check labels, quantities and condition, and report any discrepancy with your order number and photos.

When should I ask about product documents?

At the quotation stage, together with your request for a written quote. List the documents your quality or purchasing team needs, so they are agreed before you place the order.

How do I avoid customs holds caused by missing paperwork?

Confirm the shipping documents your order needs when the shipping method is agreed. Give the destination country and postcode early, and tell us about any documents your customs broker asks for.

What should I check when the goods arrive?

Check product labels, quantities and visual condition against your order. Compare each reference with the line on your order before the bearings go to the workshop or assembly line.

What if something does not match my order?

Contact us with your order number and photos of the discrepancy. Photos of the label, the quantity received and the condition let the issue be checked against the order record directly.
